As Practice Coordinator, youâll manage systems, lead daily admin workflows, be a compassionate support to clients and help shape a team culture that supports consistency, clarity and care. From Zendesk to waitlists, youâll keep things running smoothly in a high-volume, multi-site environment - building the rhythm behind a rapidly scaling service.
- đ What your week might look like: One day youâre triaging Zendesk inquiries or fine-tuning how service agreements are tracked; the next, youâre smoothing out a scheduling clash or helping a client feel heard and supported when the path forward isnât straightforward.
- đ§ Bring your experience (from anywhere): Admin gun from the health world? Service lead from a social enterprise? Office manager with a secret system-building superpower? Weâre open to where youâve gathered your skills, especially if you can demonstrate youâre naturally adaptable - ready to pivot priorities, roll with changes, and bring others with you. Bonus points if youâve worked within NDIS or understand the nuance of funding-based service delivery.
- đ Work that works for you: This is a permanent role with strong preference for full-time, though weâre open to 4 days/week for the right person. Weâre looking for someone whoâs ready to commit and grow with us - not just for a season, but for the long haul. Youâll be based in Sydney (ideally along the MascotâParramatta corridor) with flexibility to work between home and clinic. Salary range is $80â90K pro rata, depending on experience.

Youâll be the operational engine - keeping Zendesk clean, service agreements humming, and practice management tools running like a dream. When a family, case manager or client calls in, our team; and your systems, ensure theyâre welcomed, supported, and booked in quickly.
ă°ď¸ 30% Team Coordination & Culture
Run team huddles, empower staff across multiple clinics, and create a rhythm that supports accountability and camaraderie. Youâll document and refine SOPs, build workflows that make everyday processes easier, and create clarity in how work flows from site to site - while empowering your team to take ownership and grow in confidence.

Youâll keep the client journey smooth from first inquiry to follow-up; reducing no-shows, tracking funding, moving waitlists, and making sure everyone feels supported along the way. Youâre the behind-the-scenes glue that keeps the service steady, sustainable, and deeply human.
