- 🧩 This isn’t just a coordination gig—it’s a key operations role at the core of RoboFit’s clinic performance and client experience. As Business and Administration Coordinator, you’ll manage systems, lead daily admin workflows, and help shape a team culture that supports consistency, clarity and care. From Zendesk to waitlists, you’ll keep things running smoothly in a high-volume, multi-site environment—building the rhythm behind a rapidly scaling service.
- 📅 What your week might look like: One day you’re triaging Zendesk inquiries or fine-tuning how service agreements are tracked; the next, you’re smoothing out a scheduling clash or helping a client feel heard and supported when the path forward isn’t straightforward. The person we’re looking for? Process-minded, proactive, people-smart—and ready to lead from the centre.
- 🧞 Bring your experience (from anywhere): You might be a clinical team coordinator with a knack for streamlining workflows. A community health admin with leadership instincts. A service delivery whiz from social enterprise, or something else entirely. If you’re adaptable, curious and people-focused, we want to hear from you.
- 🌈 Work that works for you: This is a permanent role with strong preference for full-time, though we’re open to 4 days/week for the right person. We’re looking for someone who’s ready to commit and grow with us - not just for a season, but for the long haul. You’ll be based in Sydney (ideally along the Mascot–Parramatta corridor) with flexibility to work between home and clinic. Salary range starts at $80,000 + super, pro rata, depending on experience.

The balance of work will shift over time, but to start:
〰️ 40% Clinic Operations
Manage Zendesk workflows, service agreements, bookings and scheduling tools across multiple clinics. You’ll troubleshoot hiccups before they escalate and design systems that make things smoother for staff and clients alike.
〰️ 30% Client Experience
From inquiry to follow-up, you’ll help the client journey feel calm and considered. Reduce no-shows, track funding, move waitlists along, and support clients navigating complex support systems like NDIS—with a balance of empathy and efficiency. You’re the behind-the-scenes glue that keeps the service steady, sustainable, and deeply human.
〰️ 20% Team Coordination & Culture
Run huddles, build SOPs, and shape workflows that make everyday processes easier across sites. You’ll be a calm coach and steady support—creating clarity in how work flows, helping the team stay in rhythm - and empowering each person to take ownership and grow in confidence.
〰️ 10% Business Backbone
Ensure invoices go to the right people, debt collection happens with confidence, and internal systems support strong cash flow. You’re part of the foundation that keeps the business sustainable and scalable.

Whether it’s NDIS service agreements or Zendesk flowcharts, you’ve got the tools and tenacity to keep things tidy, efficient, and people-friendly. You’re adaptable by nature, thrive when things move fast, and secretly love bringing order to chaos (hello, colour-coded workflows). When systems work better, people do too—and that’s your jam.

You’re steady in the storm, warm on the phone, and clear when it counts. Whether supporting a colleague, onboarding a new hire, or talking with a frustrated client, you bring empathy, confidence, and clarity.
